Sales Administrator

Reports to: Vice President of Sales

 

The Sales Administrator works with sales department management and performs office support related duties with the ultimate goal of providing in a timely matter accurate information to the sales representatives. The main tasks consist to provide clerical support to the Vice President of Sales related to the quotation process. It consist in the preparation and process of the quotations for custom industrial machinery and transform them into orders in the internal system, maintaining of the customer database and serve as a point of contact for sales representatives with queries about products specifications and orders.

 

Tasks & Responsibilities

  • Provides administrative support directly to the Vice President of Sales, all members of the sales team and customers;
  • Works closely with the Vice president of Sales and the Sales Representatives in the quotation process, prepares all related documentation and ensures its transmission;
  • Process purchase orders,  generate job numbers and file the related documents;
  • Updates and maintains the customer database and internal system;
  • Research and qualifies leads for each sales representative;
  • Updates and maintains the price list and machine specifications for all manufactured products;
  • Help the reception as needed;
  • Perform other related tasks;

 

Required Skills

  • DEC in administration, DEP in secretariat or similar;
  • 2 years of experience as a sales administrator;
  • Perfectly bilingual in French and English (written & verbal);
  • Proficiency in Excel and MS Office suite;
  • Good knowledge of a CRM;
  • Good knowledge of an ERP software – Genius an asset;
  • Professional communication skills;
  • Autonomous, organization and planning skills;
  • Ability to work under pressure;
